1. Start with your workflow, not a feature list
Before looking at any software, write down how work moves through your business today. For a rental company: enquiry → booking → check-out → on hire → check-in → charges and refund. For a workshop: booking → inspection → quotation → approval → repair → invoice → collection. Note where things go wrong — double bookings, lost job sheets, unpaid balances, forgotten services. Good software should fix those exact problems.
2. Singapore essentials
- SGD and GST. Tax invoices, credit notes and receipts should calculate GST correctly (9% since 1 January 2024) and show the details your accountant needs.
- InvoiceNow readiness. IRAS is phasing in InvoiceNow (Peppol e-invoicing) requirements for GST-registered businesses, starting with new voluntary registrants. Ask how the software will send invoice data via InvoiceNow, or export it to accounting software that does.
- PayNow. PayNow QR codes on invoices and agreements are now expected by Singapore customers and speed up collection.
- Singapore vehicle numbers. You should be able to find any car, booking or job instantly by plate number.
- Vehicle lifecycle dates. COE expiry, road tax renewal, insurance and periodic inspection dates should trigger reminders.
3. Data protection under the PDPA
Rental companies and workshops collect names, phone numbers, addresses and often NRIC and driving licence details. Under the Personal Data Protection Act, you're responsible for protecting that data. The PDPC's advisory guidelines also limit when NRIC numbers may be collected and retained. Look for role-based access (so not every staff member sees every document), audit trails, secure cloud hosting and the ability to delete data you no longer need.

- Digital rental agreements with e-signatures
- Check-out and check-in inspections with timestamped photos
- Deposit handling and deductions for fuel, damage, late returns and ERP
- Matching parking fines and traffic summonses to the hirer by date and time
- Weekly or monthly recurring billing if you rent to private-hire drivers
- Maintenance scheduling by mileage and date
- Utilisation and revenue reporting per vehicle

5. Must-have features for car workshop software

- Digital inspections with photos and customer approval of quotations
- Parts inventory that deducts stock automatically when parts are used

6. Rental and workshop in one system?
Many Singapore rental operators service their own fleet. If that's you, choose software where the rental side and the workshop side share the same vehicle record. You'll see downtime, repair costs and revenue for each car in one place, and bookings automatically avoid cars that are in the workshop.
7. Cloud, mobile and the workshop floor
Cloud-based software means no server in the back office, automatic updates and access from anywhere. Make sure it works well on tablets and phones — mechanics at the bay and staff doing vehicle handovers in a carpark shouldn't need a desktop.
8. Plan the switch
The biggest risk in changing systems is the switch itself. Ask any vendor:
- How will my vehicles, customers and service history be imported?
- How long does setup take, and who does it?
- How will my staff be trained, and who do we call when something goes wrong?
- Can I export my data if I ever leave?
